I'm not sure if you agree that distribution of information is a records management issue. From my viewpoint, records management should also address how we manage and share information.

Instead of "pushing" the information to us, how about notifying us of what is available and letting us "pull" the information from a server at your end when we need it?

To make this concept efficient, you'd still need to email us and let us know when there has been new information made available and it would also be good to know when information is being deleted so if we want to pull a copy and retain it for ourselves, we could. Not only would this reduce clogging my email, it would reduce the volume of stuff I try to manage on my hard drive.

The mailbox size limit for all DNHN addressees is 10 MB. Your message was a whopping 9.187 MB, which in effect put all DNHN addressees at risk of having their e-mail services shut off for exceeding inbox limits. Some of your other addressees have limits along the lines of 3 to 5 MB. Please in the future make arrangements to store large files of this size in an online repository where they can be referenced by URL and downloaded without negatively impacting mail services.

Whenever you post an e-mail with abbreviations, please do not assume that all of us instantly know what is meant and for those with short memories, please jog the old gray matter with a translation to every day English.

Please also give serious consideration to summarizing or describing the information contained in an attachment and stating to whom the message is applicable. This will help us filter out what is critical for each of our roles, which vary widely depending on the organization and the organization's assets.

We have a good deal of valuable information to share in order to avoid the calamities of system failures before and after the beginning of the year 2000. We also have some legal imperatives to propel action. Like many I am anxious to avoid the problems and to assure compliance. In that quest, I would like to spend time on solving problems instead of sorting mail or reviewing material only to find that it really is not applicable. Any help that you could offer in information presentation and summarization would be greatly appreciated. Thanks.
